At Mega Travel Machupicchu, we understand that travel plans can change. However, due to the strict regulations imposed by the Peruvian Ministry of Culture and railway companies regarding ticket purchases, we have established the following Cancellation and Refund Policy.
By booking a tour or trek with us, you agree to the terms outlined below.
1. The Initial Deposit
To secure your reservation for any tour or trek (especially for the Inca Trail and Machu Picchu), Mega Travel Machupicchu requires a deposit at the time of booking.

Non-Refundable Deposit: The initial deposit is strictly non-refundable and non-transferable.

Why? This deposit is immediately used to purchase entrance tickets to Machu Picchu, Inca Trail permits, and train tickets. These tickets are issued by the Peruvian Government and are non-refundable and non-transferable (they cannot be changed to another person’s name or date) once purchased.
2. Cancellation by the Client
If you need to cancel your trip, you must notify us in writing via email at reservas@megatravelmachupicchu.com. The refund amount depends on how far in advance you cancel before your tour start date:

30 days or more before the tour: You will lose the non-refundable deposit, but you are not liable for the remaining balance.

15 to 29 days before the tour: You will be charged 50% of the total tour cost.

7 to 14 days before the tour: You will be charged 70% of the total tour cost.

Less than 7 days before the tour (or No-Show): You will be charged 100% of the total tour cost. No refunds will be issued.
Note: Transaction fees (PayPal, Western Union, Bank Transfers) are never refundable.
3. Specific Rules for Inca Trail & Machu Picchu
Please note that permits for the Classic Inca Trail (4 Days) and Short Inca Trail (2 Days) are governed by specific government laws:

Inca Trail Permits: Once bought, they are 100% non-refundable and non-changeable. If you cancel, the permit fee is lost completely.

Machu Picchu Tickets: These are also non-refundable and valid only for the specific date and time printed on the ticket.
4. Changes and Amendments
If you wish to change the date of your tour (excluding the Inca Trail), we will do our best to accommodate your request, subject to availability.

Administration Fee: Changes made more than 15 days before the trip may incur an administration fee plus any difference in ticket costs (e.g., new train tickets or hotel rates).

Inca Trail Dates: Dates for the Inca Trail cannot be changed under any circumstances. If you change the date, a new permit must be purchased (full deposit required again).
5. Force Majeure (Unforeseeable Events)
Mega Travel Machupicchu is not responsible for failure to perform its obligations due to events beyond our control, including but not limited to:

Strikes, protests, or civil unrest.

Natural disasters (landslides, floods, earthquakes).

Flight cancellations or delays.

Epidemics or pandemics.
In the event of Force Majeure:

We will offer to reschedule your trip to a future date.

If rescheduling is not possible, we will refund the recoverable costs. Note: Unrecoverable costs (such as already purchased permits, train tickets, and hotel prepayments) will be deducted from the refund.
6. Refunds for Unused Services
If you decide to leave a tour early due to physical fatigue, altitude sickness, or personal reasons, no refund will be given for the unused portion of the itinerary (transport, hotels, meals, or guided tours). Any additional costs incurred for returning to Cusco (transportation, hotel, food) will be the traveler’s responsibility.
7. Travel Insurance
We highly recommend that all clients purchase comprehensive Travel Insurance that covers trip cancellation, interruption, and medical emergencies. If you cancel due to medical reasons, we can provide a letter for your insurance company so you may claim a reimbursement from them.
